Minutes of LaVergne Lake Elementary - PTO Meeting
Thursday, July 26, 2018 Paige Johnson- Principal Teddy Gwyn- President Nikki Brooks- Treasurer Samantha Hardison- Vice President Valency Horton- Secretary Attendees: Carrie Brown, Tyra Ellis, Teddy Gwyn, Samantha Hardison, Principal Paige Johnson, Coach Woods, Dr. Shoe, Amanda Doctor, Amma May Brown Principal Paige Johnson called the meeting to order at 5:03pm CST. Teddy led the meeting going forward. Secretary’s Report No report at this time. Valency advised today’s minutes would be presented to Teddy for review and posting to the LLE PTO website. Treasurer’s Report Teddy presented the Treasurer’s report in Nikki’s absence. The balance as of meeting today is $15,896.74. The budget for the 2018-2019 school year is $21,500.00. The budgeted expenses are $20,108.00. A copy of the report was presented to all present. LLE PTO Calendar of Events Corrections: Daddy Daughter Dance is Friday, February 15, 2019 6-8pm PTO Meeting is Friday, March 14, 2018 5-6pm Samantha inquired if we were still interested in a craft fair. She will gather information and present at the next meeting. Family night at local restaurants will be added to the PTO website, LLE PTO FB page and Class Dojo. This will aid Principal Johnson in her announcement call to direct to either of the above as well. Principal Johnson inquired if we need to have a meeting in two (2) weeks. After a brief discussion, it was agreed we would not have a meeting in two (2) weeks. Family Night Teddy reviewed the local restaurants with confirmed dates, time and any restrictions. Sonic Community First Cards was represented to members. The cards are free from Sonic. After a brief discussion, we agreed we would like to move forward. We (the PTO members) will sale them at the Back to School Bash, Open House, and Fall Festival for $10 each. Back to School Bash The PTO members will be working the concession stand. Members will discuss a schedule to ensure all able to attend to attend the bash with their child (ren). Principal Johnson and Dr. Shoe advised there would be food trucks, corn hole, a DJ, card my yard, LLE swag sale and registration packets will be handed out. Principal Johnson polled those present on how we felt about as this is for the LLE families. We all agreed receiving the registration packets early is a great idea. The PTO will be responsible for popcorn, drinks, cotton candy (prebagged) and candy). Teddy and Sam will coordinate a day next week for purchases. Chipotle (Smyrna) family night requires a flyer. The flyer will be on display. Valency will prepare two (2) posters for the concessions area to promote the next PTO meeting on Thursday, September 13, 2018 at 5-6pm. Fun Run Coach Woods requested forms at the Back to School Bash. The greatest need is sponsorship. The sponsorship letter is available on the homepage of the PTO website for viewing and printing. The PTO will be responsible for level prizes. The Fun Run prize committee will be responsible for the top prizes. 99pledges.com needs approval ASAP. Teddy will submit paperwork on Monday, July 30, 2018 for approval. We will setup the 99 Pledges site ahead of Fun Run so businesses can donate online. LLE PTO FB page Samantha will add the calendar events. We discussed the function of files being added as well. We agreed the LLE PTO FB page has seen great success and resource for new and returning families. Request The focus for the supply closet will be copy paper. Ms. White (Music) needs new mics. Pricing has been requested. Per the Treasurer we will review after the Fun Run and Santa Shop. After a brief discuss, it was agreed this would be an end of the year goal. To recoup the money for the purchase, it was suggested we begin offering a DVD of the Fall Music program for $10. All agreed this was a great idea. Dr. Shoe presented a budget request to the PTO to aid the purchase of t-shirts for those children who are unable to afford. The board agreed to discuss this with the Treasurer. There was a discussion to see if we could possibly combine the new t-shirts and the Fun Run t-shirts to cut cost. After brainstorming, it was not agreed upon. Principal Johnson will evaluate and advise. Deadline for a decision is at the end of August. The next meeting is scheduled for Thursday, September 13, 2018 at 5-6pm. - Fun Run - Everyone learned we have another $245 that has come in that needs to get added to the current total of $16,938.98 in pledges raised at the Fun Run. The fun run was discussed in detail. We were all amazed that with the 26% participation we were able to raise $16k+. Next year were hoping to begin working on business sponsorships over the summer and hold the fun run a little earlier so the fun run and fall festival aren't so close together. We discussed the plan to have parents sign for high end prizes such as a gift card, tablet, or more to make sure they are kept safe. Letters will be sent home notifying those parents. The Fun Run closing assembly will be held Dec 1st. Once business sponsorships were factored in, it was decided we are close enough to our $20k goal that the Jello Fun Run Side is going to happen! Principal Johnson and many teachers will be participating as the kids watch! - Fall Festival - The food trucks were a hit at the Fall Festival. Shout out to Sam for arranging! The PTO earned a % of the proceeds from each so we're glad everyone seemed to enjoy them. LLE teachers did an amazing job creating new games and activities for the students/parents to enjoy. The kids loved the zombie nerf battle, cotton candy, slime, and fish of course! We are considering getting rid of the jump houses next year. We have a few ideas, but if you have an idea of what you think we should place in the gym instead please leave a comment below. - Santa Shop- The PTO is currently working on getting items to sale in the Santa Shop. The PTO will setup the Santa Shop on December 7th. Students will be able to walk through and preview items on December 8th. Sheets will go home so parents can preview some of the items to be sold. This is a great time for students' to get gifts for parents, grandparents, and siblings. Items will start at .25 cents, but no more than $5. Students are able to shop for gifts during the school day December 11th - December 15th * Parent Volunteers are needed during the day to work the Santa Shop December 14th - Santa Night Shop 7-8pm families can come out to visit the Santa Shop to buy gifts. * Parent Volunteers are needed at night to work the Santa Shop Special thanks to Mr. Wood and Ms. Gaither for helping put our 1st Little Hawk Fun Run together!
Every teacher, staff member, parent, and volunteer this could not have happened without you! We loved seeing all the parents that came to cheer on their little hawks!! This meeting was dedicated to the Fun Run and wrapping up all our lose ends so the event would be successful. After reviewing the budget and spending reports for September we discussed:
We discussed our booth at Open House. Using the I pads to allow people to sign up on the spot was great. 4 new parents showed up to this month's meeting. Sharing the PTO events with parents helped them understand all the events the PTO plans throughout the year. Reviewed our budget and spending reports for August. The upcoming Fun Run is going to be our biggest fundraiser for the year, so we discussed the various committees in place setup by Mr. Wood. To date the business sponsorship committee raised $1,380. Goal is 5k. A copy of the business sponsorship letter was being emailed out so we can all help earn business sponsors for the Fun Run. Envelopes were being printed for students to take home and a 99 pledges website for the Fun Run would be created once we received the approval needed. That person is currently out of the country. To help hype students up during the Fun Run Kick Off Assembly there is a plan to show a video of adults sliding through Jello if we hit goal to get them excited! Discussed our upcoming Fall Movie Night. It was verified the school's movie license was paid and renewed so we were all set to show Captain Underpants. All Parent volunteers needed to arrive by 4:30 to help pop popcorn ahead of time and organize candy and drinks. Everything sold would be $1. Our 1st Family Night had been setup for Sept 25th at Firehouse Subs. Flyers were being prepared to be sent home with the students. We also planned to let parents know via Class Dojo, PTO website, and in the slideshow on the LLE school webpage. Ideas for the Fall Festival were shared. We leaned that Kona Ice attending would allow the PTO to earn 20% of the proceeds as a kickback for allowing them to come. Meeting Attendants - 17 Welcome Val and Carrie to the LLE PTO! The LLE PTO would like to thank everyone that came to check out our "Make a Splash" Booth last night at Open House! It was great meeting all of you. We appreciate the parents that signed up to volunteer! It is not too late to sign up, just click the link above and come to our next meeting on Sept 14th @ 5:00pm.

Most of the PTO budget this year will come from the 1st Annual Little Hawk Fun Run, which is replacing the fundraiser we held in past years.
The PTO will utilize Square this year for movie nights and for buying tickets at the Fall Festival this year. This will allow parents to use cards to purchase snacks and tickets. There will be a minimum purchase amount. This had been parent frustration for those that don't carry cash, so we've listened and we're making it happen! Special thanks to our PTO Treasurer, Nikki Brooks, for getting this ordered and setup! There will be an upcoming vote for PTO officers and board members. The PTO booth will be a required booth at Open House. Providing us the opportunity to explain how important the PTO is to LLE and express our need for volunteers for upcoming events, especially for our upcoming 1st Annual Little Hawk Fun Run. There will be a meeting for volunteers that want to assist with the Fun Run. There will be several committees that need to be filled. Examples: Prize, Snack, T-Shirts, Publicity, Track, and Sponsor Committees just to name a few. We will need many parents to volunteer to help make this event a success. This will be our biggest fundraiser of the year. We are needing businesses to sponsor the Fun Run. Monetary contributions to the school are accepted at any level, as any amount is appreciated. Donations of "goods" -water bottles, sports drinks, or energy bars are also greatly appreciated. We are offering Sponsorship prizes for businesses that donate $300 or $500 to the Fun Run. Some prizes are t-shirts, company logo on shirts, company logo on website just to name a few. The movie selected for the LLE Fall Movie night is Captain Underpants, which has been scheduled for September 22nd. There will be concessions. We want the Fall Festival to be a huge success this year so we are brainstorming new ideas and games. Feel free to come to a meeting to share your ideas or leave a comment below if you want to provide us any helpful feedback. We would love LLE parents to post their pics online with #llefallfestival2017 so we can gather pics of everyone having fun :) LLE will be collecting BoxTops this year in the Fall and Spring. This is a fundraiser that helps LLE raise money, please start saving your box tops now! Collection sheets will be sent home. Students can turn in more than one sheet. LLE earns 10 cents per box top. We may be setting up a partnership with SchoolStore.com. LLE will earn a percentage of sales processed through the site. Details to come if this moves forward. Lastly, there was a discussion about Family Nights for LLE at restaurants in LaVergne and Smyrna. There will be a set day for LLE Parents and Staff to eat at restaurants that will provide us a % of the sales . We will be announcing Family Nights soon. Feel free to leave us a comment below letting us know of your families favorite places to eat. If you work at a restaurant that would like to participate, let us know that too! The LLE PTO looks forward to the 17-18 school year and we can't wait to help LLE raise money that supports LLE teachers and students!
