Grant mentioned that Publix may be able to donate $300 towards gift cards to buy items for dance. Webpage PTO link will be corrected at soon. Other Discussion: PTO closet: We will have a designated spot inside closet (back wall) to move PTO items from library to there. Teacher Request for PTO to pay for painting in front of the school. PTO will possibly make a form for teachers to request for assistance for school/teachers.

Details coming soon... Teacher Tshirts Carrie mentioned T-shirts. She will be getting pricing. We confirmed that T-shirts will be without names on sleeve to cut costs. December Parent Preview for Holiday Shop 5th-9th. Starr will volunteer December 6th-8th. We will create a schedule, have volunteers select shift, and then confirm with volunteers for the holiday shop. Shifts will be 4 hours each for morning and afternoon shifts. Inventory will be sorted and coordinated by the end of this month. Shelby will follow up about Urban Air as a Family Night. January Shelby will follow up about Urban Air as a Family Night. February Stars and Strikes as a possible Family Night Out but not confirmed yet. March Daddy/daughter dance: We will check with volunteers to see who would like to volunteer to help and rename dance. Teddy Gwyn, PTO President called the meeting to order at 5:35 pm CST. Treasurer Report – Nikki Brooks Nikki provided an overview to the budget and expenses. The balance as of September 30, 2019 is $13,964.66. Budget: $20,067.47 Boosterthon $2,000 check cleared, Nikki reminded that they will credit that towards the total amount owed in the end. Nikki also reported 1st movie night went well, total income from 1st movie night in 2018 was $375.89; for 2019 was $442.50. Teddy reported Sonic Family Night check still pending but will actually bring in close to $400 instead of previously estimated $200.00. New and Recurring Business – Teddy Gwyn Paper Donations to Teachers Nikki Brooks helped secure 55 reams of paper donation from A-Z Supplies. 64 teachers are receiving paper (main home rooms, CDC, SPED). Each teacher will get 4 reams of paper, 1 container of cleaning wipes, and a PTO calendar. Teddy Gwyn and Tabitha Howard sorted and set-up supply distribution piles in library on 10/17. Will start distributing 10/18, pictures will be taken and posted on Dojo and PTO facebook page. Family Night Sam Hardison and Carrie Brown are working Chick-Fil-A Spirit Night Monday 10/21 from 5pm-7pm. Need one more volunteer to help—Amanda Docktor can arrive by 6pm to assist. Stars and Strikes Fundraiser Idea Stars and Strikes does their fundraisers for 3-4 hour blocks Mondays thru Fridays, no holidays. Dates were discussed, pros and cons of the start of Christmas Break vs the end of Christmas Break (Friday December 20th or Friday January 3rd). Teddy Gwyn will check on availability for both dates, revisit at next meeting. Fall Festival Teachers have all decided on what their activity will be, handout for booth list was given out. In addition to the booths on the list, there will be a balloon artist, laser tag, and photo booth. Laser Tag is being donated by a past LLE parent. Idea 1 on location is to rope off gym, ½ for auction and ½ for laser tag. Idea 2 on location was to move the Silent Auction to the library as tables are easily moved, leaving plenty of space for laser tag in the gym. Agreement by all that idea #2 was best and silent auction will occur in the library, laser tag in the gym. Balloon Artist set-up location also discussed. Debated hallway by Mrs. White’s classroom or the indentation for the CDC wing. Set-up in the CDC wing indentation was voted the best option. Teddy Gwyn to speak with teachers about locations for activities to confirm locations for activity set-up. Food trucks for fall festival discussed at last meeting, Teddy will follow up with parent heading up that research. Sonic Community Card sales were discussed, not as many sold so far this year. Idea was to possibly have a booth at fall festival and have a parent sell them? Unsure about this option because would need three banks with the two ticket areas also requiring a bank. Would have to be a separate booth though because of the busy pace at the ticket areas and possible detraction from ticket sales if also attempting to sell Sonic Cards. Fall Festival tickets were also discussed, considering pre-sale options. Discussed an unlimited bracelet option, $30-35 for a bracelet with tickets $1/piece. Bracelets were used in the past, unsure on why the switch to just tickets was made. Mrs. Johnson will look up the previous data on the bracelets and investigate. Tabled discussion, will revisit once more information is obtained. Silent Auction Donations Lots of great donations so far including an air fryer, instapot, and giftcards. Discussed a flyer or booklet to handout to parents that contains pictures of items, similar to a regular auction. Also discussed a combo list of items and pictures on a handout. Most popular idea was a collage of pictures, up to 10 total collages. Mrs. Gaither would post one collage a day leading up to fall festival on Dojo to build interest and excitement. Sam Hardison will take pictures and form collages to send to Mrs. Gaither. Door Monitors for Meetings 2 parents were locked out at the last meeting and couldn’t reach anyone via phone/facebook because of cell service in the building. The Lavergne National Honor Society Members need community service hours. For all PTO meetings going forward there will be 2 monitors to let people in the door and escort them to the room. Several members will also be working the fall festival: 5 are dressing up for the haunted house activity, and 3 are monitoring the cafeteria since doors will be open. Sam Hardison suggested to ask for a few more volunteers and have them wear a yellow or orange vest and stand in strategic areas during fall festival with maps. They can help guide families to the location of specific activities. Sam will email the Smyrna Home Depot to ask about having some vests donated. New Meeting Time The PTO meeting tonight started at 5:30 pm CST. Several parents had planned to come that didn’t make it due to Nashville traffic. Several parents present did only make the meeting due to the 5:30pm start time. Principal Johnson agreed to try again next meeting on November 14th. Will post the time change on facebook and dojo. Miscellaneous Teddy will send an email about Fall Festival PTO Volunteers in the next two weeks. The next meeting is on Thursday, November 14th, 2019 at 5:30pm CST. Meeting adjourned 6:14pm. Treasurer Report. Nikki provided an overview to the budget and expenses. The balance as of August 31, 2019 is $15,605.20. Budget: $20,067.47 August Expenses= $32.93 Teddy indicated Sonic Family Night estimated bring in will be $200.00. Teddy lead the meeting going forward. Nikki Brooks helped secure 55 reams of paper donation from A-Z Supplies Last year each teacher had 2 reams. Need to get paper disbursed. Teddy inquired if we should do it similar to last year (setup in Library) for Jerry and staff to hand out. Principal Johnson indicated yes. We also received random supplies, Teddy suggested for teachers. Sam mentioned Tracy suggested they could be placed in office for new students or Mrs. McCann hold in her office to distribute to those students in need. It was agreed the random supplies would be given to Mrs. McCann to distribute as needed. The PTO will also disburse 1 tube hand wipes. 80 total is needed. Valency will donate the remainder from her stock pile. Movie Night Ms. Gaither has created the flyer. Teddy has printed the flyer. Carrie Brown will sort and place in the teacher mailboxes. Teddy will get the movie and cash for the night. Erica Brown will assist popcorn prep. Valency, Samantha and 5 additional parents will run the concession stand. Sam will purchase concession from Sam’s for Movie Night. We had to turn away 2 parents that volunteered whom volunteered for Movie Night. It was noted that Open House was a great success in getting parents to volunteer. BoosterThon BoosterThon has been approved by the school board. Teddy has mailed the check for $2K. Note: The $2K deposit will be deducted from the total cost of BoosterThon. Friday Concessions 3 volunteers came forward to help with concessions. Valency will do drop in as time permits. Fall Festival The question was brought to the table on when to start working on the Fall Festival. Principal Johnson suggested holding off on planning. Principal Johnson stated last week of September to begin purchasing and planning. Teddy to send email to teachers by 9/26/19 so the teachers can discuss at the 9/30/19 teachers meeting. Teddy to include on the email the link for signup genuine, basket and silent auction. Ms. Gaither suggest handing out the events calendar, paper and hand wipes and ask the teachers to commit to come to a PTO event. Sam would like teachers (grade level or cubby mates) to help with basket (Ex. Winter basket, movie basket). Mrs. Reed and Gaither discussed and agreed to go by teams. Sam will create the Sign up Genius. Mrs. Reed will reach out to the team leaders on baskets. PTO will be in touch. Baskets/Items to be complete after Fall Break. Prin Johnson indicated she would check with the new Art teacher for face painting. This will cut expenses for a hired face painter. Teddy to send to list to Prin Johnson regarding who/grade level did what last year at Fall Festival. Food Truck parents inquired about standing in line for a length of time, increase amount of food trucks. Opening food prior to Fall Festival at 5pm but doors don’t open until 6pm. Latice Felton will reach out the food trucks from Open House and the Food Truck Association for potential trucks. Trucks suggested Kona Ice, Chicken Shake express, Burger Shake. King Tut and a Vegan Truck. Silent Auction Auction off parking space for a parent. Space would be in the back. Safety for the child being dropped off. Logistically it will not work. It cannot be on the end of the loop but we have a child dropper off there. We suggested let them drop off at Kindergarten drop off/pickup. 2 students would be awarded. Make 2 VIP sign for the card for those students. Mrs Docktor will make the car sign. JerriLynn Reed brought up a hat day, pj day or eat with kids day. Examples of rewards: Purchase extra recess was discussed. VIP for house competition. Whomever (team ) brought in the most would get a special prize for the teachers. Prize Sonic shake or drink Teachers could say for extra recesses or buy a coke from vending machine. Coupon deals, hat day, pj day, lunch in class w/ a friend day and use the tire swing since it is currently only for 5th grader usage. 1 day @ recess w/ 2 friends. Chew gum day Swap seats day, sit at the teacher’s desk, principals asst for a day, buy a coke at the vending machine day. New Meeting Time The time for PTO was brought back forward to Principal Johnson. Principal Johnson approved for the October 2019 meeting. The new time will be mentioned on Dojo, FB, Twitter and at movie night. Sam will revisit the live stream of PTO meeting at the next PTO meeting. Miscellaneous Teddy will start screen shot Facebook post for Mrs. Reed to add on DoJo. Sam has preprinted sponsorship letter that she will send to everyone to mail letters. Stars and Strikes allows family nights has to be Monday –Thursday. Tuesday or Thursday.Ex. Early dismissal, Christmas break or Spring Break would be a great time to LLE Family Night. Teddy will follow up on Stars and Strikes on the logistics. Sam sent email to Prin Johnson and Dr. Shoe regarding craft fair. 100% profit. Sam to resend email. Treasurer’s Report Nikki provided an overview of the budget and expenses. The balance as of July 31, 2019 is $16,659.08. Deposits = $0.00 Disbursements = $10.98 A copy of the 2019-2020 budget and balance reports was provided to all present. The budget for 2019-2020 is $23,000.00. This is an increase of $1,500.00 from the 2018-2019 budget. Nikki advised the increase is split $500.00 each towards Fall Festival, Family Nights Totals and Holiday Gift Shop. Nikki opened the floor for comments or questions. Dr. Shoe advised Ms. Reed has been in contact with one (1) of the foodtrucks that was at the Back to School that would like to donate a portion to the school. A specific % to be donated was not available. The only question/inquiry was the budget for Bank Fees Expenses decrease. Nikki explained the decrease is due to less fees for deposits, cash, etc.. Teddy indicated the 2018-2019 was a great year despite missing the budget by $700.00. Teddy Gwyn, LLE PTO President, lead the meeting going forward. Calendar of Events The calendar of events has been updated on the PTO website and LaVergne Lake Elementary PTO Facebook page. The events will be shared on Class Dojo. The only revision to the calendar is Chic Fil A Family Night has been moved from 10/23/19 to 10/21/19. The group were all pleased to hear LLE will have Five Below the entire weekend (Fri- Sun). Ms.Gaither will prepare of a flyer for Sonic Family Night. The flyer will be forward to the PTO for printing. Open House The PTO will have the following at the PTO information table: • Calendar • Budget • Voting on Board Members • Sonic Card Note: We received 75 FREE Sonic Cards and will sell for $10.00 each. If all are sold, we will make $750.00. • Vanderbilt Car Seat Safety confirmed they would be present. They will give away two (2) Booster seats and one (1) 5 Point Harness Carseat As a reminder, the Fun Run event was moved to Spring 2020 for the 2019-2020 calendar year. The Fun Run will be using Boosterthon to help run this years Fun Run. Boosterthon Teddy explained the Boosterthon concept. The website to view how Boosterthon works is https://boosterthon.com/how-it-works/. Training for LLE Personal only will take place on March 2, 2019. The PTO will purchase glowstick necklaces for the event. Dr. Shoe suggested the necklaces to be purchased in the House Colors. Valency inquired to the amount that would need to be purchased. Dr. Shoe indicated 225-250 in each color. The goal is to purchase the necklaces in bulk. Rachel Gaither suggested a website (www.dhgate.com). Sam will price the purchase. Principal Johnson was presented with the request to change the PTO meeting time from 5-6pm to 5:30-6:30 pm to accommodate those parents that have expressed interest in coming. However, the current time does not allow them the amount of time to be present. Principal Johnson indicated she will review the events scheduled to ensure there is not a conflict with the time. She will also review with the Assistant Principals. FB Live was suggested as another opinion to begin utilizing so parents can be virtually present. Sam will post a request for each of the LLE PTO FB to sent a FB invite for other parents to join the FB page. Teddy presented a draft Welcome to LLE letter to send to Kindergarten parents. There was a brief discussion on the letter. It was agreed, the letter should be sent to all students and any time there is a new incoming student. The LLE PTO website will be added to the letter. Teddy turned the meeting over to Sam to discuss LLE having a Craft Fair. Sam advised the Craft Fair would be a small expensive (masking tape and advertising) but could be a large profit. Booth Rental would be $25-$35. The event would take place in the gym and main hallway. 0 teachers would be needed, RSO would be on campus. Stacie Robinson would assist with the logistics of LLE hosting the Craft Fair. The next meeting is on Thursday, September 12, 2019 at 5pm CST. The meeting adjourned at 5:53 pm CST. A LLE 5th grade student made a presentation regarding the Crayola Color Cycle. Principal Johnson praised the student on her presentation. In addition, advised the student a LLE staff member (Rachel Gaither) would be assigned to mentor in the Crayola Color Cycle project. Teddy Gwyn advised the student the PTO board would review and finalize logistics (i.e. start date, placement of collection boxes). Teddy Gwyn lead the meeting going forward. Secretary’s Report No report at this time. Treasurer’s Report Teddy presented the Treasurer’s report in Nikki’s absence. The balance as of meeting today is $15,718.14. LLE PTO Calendar of Events No revisions to the LLE PTO Calendar of Events. Family Night Since the last meeting, Sonic has been the only Family Night at a local restaurant. Sonic family night for LLE brought in $260.00. Teddy advised Sonic indicated LLE Family Night was the highest grossing Family Night they have seen. There is not a Family Night scheduled for the month of November 2018. Fun Run The Fun Run was success. As of today, the total money collected is $4, 276.00. We are well below projection from this time last year. There was a brief discussion on how we can promote 99pledges.com to ensure we receive our goal. Principal Johnson, Dr. Shue and Mr. Coulter will coordinate on special announcements. Ms. Gaither will post on Class DoJo. The PTO will post on the PTO Facebook page. Fall Festival As of today, we have received activity and supply request from the SPED, 3rd and 1st grade teams. Principal Johnson will remind the 5th, 4th, 2nd, K, ESL and Related Arts teams we need to receive their activity and supply list ASAP. Ms. Gaither indicated the 5th grade team as their activities. Their supplies need to be submitted to the PTO. Ms. Wood indicated Mr. Wood will be providing a FREE hayride for all of the LLE families to enjoy. Hayrides will be in the back carpool area. Dr. Shoe indicated CDC (Ms.Natter ) is working on Fall Festival decoration. Tonya's husband will be donating scarecrows. The following food trucks have been secured for the Fall Festival: Kona Ice and Bar B Que There was a brief discussion about contacting Chicken Shack, Smokin’ Buts and Maggie Moo’s. It was decided we would not contact Maggie Moo’s as we already have Kona Ice. Mr. Coulter provided the contact information for Smokin’ Buts and Maggie Moo’s to Valency Horton. The food truck will be loading dock area. Valency will contact the Grilled Cheesier to see if they are available. A balloon artist (2 tickets) and rolling video game truck (3 tickets) will be two (2) new features at Fall Festival. No concessions. No costumes. We have 20 National Honor Society students that will be available to assistance. No students are permitted to handle money. Did we say parents also? Silent Auction The Silent Auction will take place in the gym. The following have been donated as of today: 2 baskets (dog lover theme), Painting with a Twist donation, $50 Bounce U gift card, Pottery, Art Table and UT Vols handcrafted sign Stacey Johnson agreed to donate cupcakes and signs (TN teams). Bidding will be ½ of the value of item with bidding in $5.00 increments. Cutoff for bidding will end at 7:30pm CST. All donations for the auction need to be in by October 29, 2018. Teddy led the meeting going forward. Secretary’s Report The PTO board for the office will be in place October 2018. The yard signs for PTO reminders is delayed due to Vice Pres Hardison due date approaching. If we use an outside vendor, the cost will be more. We will revisit later. Treasurer’s Report Nikki presented the Treasurer’s report. The balance as of meeting today is $19,782.02. The balance at the last meeting on July 26, 2018 was $15,896.74. The budget for the 2018-2019 school year is $21,500.00. The budgeted expenses are $20,108.00. A copy of the report was presented to all present. Fun Run The Fun Run is scheduled for Wednesday, September 26, 2018 if weather permits. If the weather does not permit, the Fun Run will be moved to Friday (10/28/18). Teddy reported the local t-shirt company will be charging $4.00 per shirt versus $4.18 last year. Savings! The snack committee (lead by Ms. Baker) has secured donations from Walmart for both water and snacks. The committee is also seeking donation for bikes for the prizes. Movie Night The movie will be Peter Rabbit. Doors will open at 6:30pm CST. Teddy will present a schedule to PTO members via email to confirm availability. Dr. Shoe is working on ambassadors. Parents must be present! No- reenter! Fall Festival No Bounce house. Food Trucks. Brief discussion regarding combing the Fall Festival and Fall Book Fair. Principal Johnson said she would like to discuss with Ms. Baker. Teddy requested after the Fall Festival for the teachers to provide their activities and prize request by preferably by 10/12/18. A suggestion was made request the local restaurants to donate toys normally placed in kids meals. Dr. Shoe requested the PTO have two (2) change boxes available. Donations Nikki Brooks has coordinated with A-Z Paper the donation of paper for the supply closet to benefit the teachers. Crayola Color Cycle Teddy received a request from a 5th grade parent for their daughter to coordinate the Crayola Color Cycle for LLE. Ms. Gaither will be LLE staff contact. The student will make a presentation to the members at the next meeting. The next meeting is scheduled for Thursday, October 11, 2018 at 5-6pm. The meeting was adjourned at 6:21pm CST.
