Minutes of LaVergne Lake Elementary
PTO Meeting Thursday, October 17, 2019 Paige Johnson - Principal Teddy Gwyn - President Samantha Hardison – Vice President Nikki Brooks - Treasurer Valency Horton- Secretary Attendees: Teddy Gwyn, Nikki Brooks, Paige Johnson, Dr. Laurie Shoe, Rachel Gaither, Valency Horton, Amanda Docktor, Samantha Hardison, Tyra Martin Ellis, Keila Motos, Evelio Sarota, and Nazareth Thomas. Teddy Gwyn, PTO President called the meeting to order at 5:35 pm CST. Treasurer Report – Nikki Brooks Nikki provided an overview to the budget and expenses. The balance as of September 30, 2019 is $13,964.66. Budget: $20,067.47 Boosterthon $2,000 check cleared, Nikki reminded that they will credit that towards the total amount owed in the end. Nikki also reported 1st movie night went well, total income from 1st movie night in 2018 was $375.89; for 2019 was $442.50. Teddy reported Sonic Family Night check still pending but will actually bring in close to $400 instead of previously estimated $200.00. New and Recurring Business – Teddy Gwyn Paper Donations to Teachers Nikki Brooks helped secure 55 reams of paper donation from A-Z Supplies. 64 teachers are receiving paper (main home rooms, CDC, SPED). Each teacher will get 4 reams of paper, 1 container of cleaning wipes, and a PTO calendar. Teddy Gwyn and Tabitha Howard sorted and set-up supply distribution piles in library on 10/17. Will start distributing 10/18, pictures will be taken and posted on Dojo and PTO facebook page. Family Night Sam Hardison and Carrie Brown are working Chick-Fil-A Spirit Night Monday 10/21 from 5pm-7pm. Need one more volunteer to help—Amanda Docktor can arrive by 6pm to assist. Stars and Strikes Fundraiser Idea Stars and Strikes does their fundraisers for 3-4 hour blocks Mondays thru Fridays, no holidays. Dates were discussed, pros and cons of the start of Christmas Break vs the end of Christmas Break (Friday December 20th or Friday January 3rd). Teddy Gwyn will check on availability for both dates, revisit at next meeting. Fall Festival Teachers have all decided on what their activity will be, handout for booth list was given out. In addition to the booths on the list, there will be a balloon artist, laser tag, and photo booth. Laser Tag is being donated by a past LLE parent. Idea 1 on location is to rope off gym, ½ for auction and ½ for laser tag. Idea 2 on location was to move the Silent Auction to the library as tables are easily moved, leaving plenty of space for laser tag in the gym. Agreement by all that idea #2 was best and silent auction will occur in the library, laser tag in the gym. Balloon Artist set-up location also discussed. Debated hallway by Mrs. White’s classroom or the indentation for the CDC wing. Set-up in the CDC wing indentation was voted the best option. Teddy Gwyn to speak with teachers about locations for activities to confirm locations for activity set-up. Food trucks for fall festival discussed at last meeting, Teddy will follow up with parent heading up that research. Sonic Community Card sales were discussed, not as many sold so far this year. Idea was to possibly have a booth at fall festival and have a parent sell them? Unsure about this option because would need three banks with the two ticket areas also requiring a bank. Would have to be a separate booth though because of the busy pace at the ticket areas and possible detraction from ticket sales if also attempting to sell Sonic Cards. Fall Festival tickets were also discussed, considering pre-sale options. Discussed an unlimited bracelet option, $30-35 for a bracelet with tickets $1/piece. Bracelets were used in the past, unsure on why the switch to just tickets was made. Mrs. Johnson will look up the previous data on the bracelets and investigate. Tabled discussion, will revisit once more information is obtained. Silent Auction Donations Lots of great donations so far including an air fryer, instapot, and giftcards. Discussed a flyer or booklet to handout to parents that contains pictures of items, similar to a regular auction. Also discussed a combo list of items and pictures on a handout. Most popular idea was a collage of pictures, up to 10 total collages. Mrs. Gaither would post one collage a day leading up to fall festival on Dojo to build interest and excitement. Sam Hardison will take pictures and form collages to send to Mrs. Gaither. Door Monitors for Meetings 2 parents were locked out at the last meeting and couldn’t reach anyone via phone/facebook because of cell service in the building. The Lavergne National Honor Society Members need community service hours. For all PTO meetings going forward there will be 2 monitors to let people in the door and escort them to the room. Several members will also be working the fall festival: 5 are dressing up for the haunted house activity, and 3 are monitoring the cafeteria since doors will be open. Sam Hardison suggested to ask for a few more volunteers and have them wear a yellow or orange vest and stand in strategic areas during fall festival with maps. They can help guide families to the location of specific activities. Sam will email the Smyrna Home Depot to ask about having some vests donated. New Meeting Time The PTO meeting tonight started at 5:30 pm CST. Several parents had planned to come that didn’t make it due to Nashville traffic. Several parents present did only make the meeting due to the 5:30pm start time. Principal Johnson agreed to try again next meeting on November 14th. Will post the time change on facebook and dojo. Miscellaneous Teddy will send an email about Fall Festival PTO Volunteers in the next two weeks. The next meeting is on Thursday, November 14th, 2019 at 5:30pm CST. Meeting adjourned 6:14pm.
